INTRODUCTION

SABIS Educational Services S.A.L. (“SES”, “we”, “us”, or “our”) is committed to protecting your privacy and safeguarding your personal data. This Privacy Notice (“Notice”) explains how we collect, use, store, and share your personal data when you access or use the SABIS® Online University Application (University Application) available at https://uniapp.sabis.net (the “Platform”).

The Platform enables students to prepare and submit a University Application to the universities and colleges they choose and that are featured on the Platform. SES operates the Platform and provides this service directly to students (or to parents/legal guardians acting on behalf of minor students).

The terms “you”, “your”, or “yours” refer to the user of the Platform. For students below the age of majority, these terms refer to their parent or legal guardian.

Please read this Notice carefully to understand how we handle your Personal Data.

DEFINITIONS

Personal Data: Any information relating to an identified or identifiable natural person.

Data Subject: Any individual using the Platform whose Personal Data is processed.

Processing: Any operation performed on Personal Data, including collection, recording, storage, transmission, or deletion.

INFORMATION WE COLLECT

We collect and process the following categories of Personal Data, including but not limited to, for the purpose of delivering the SABIS® Online University Application service:

1. Personal and Contact Details

  • Full name, nationality, date and place of birth
  • Email address, phone number
  • School name and grade
  • Passport copy or ID document, photo

2. Academic Information

  • Transcripts, test scores, diplomas, certificates
  • Supporting documents uploaded by you or by your parent/guardian
  • Information furnished by your current or former school at your direction (explained further below)

3. Application Content

  • All information you enter into your University Application
  • Program selections, university selections, essays, and uploaded files

4. Technical and Usage Data

  • IP address, browser type, session identifiers
  • Access logs and troubleshooting information
  • Cookies necessary to maintain session security (see Cookies Policy)

PURPOSE OF PROCESSING

We process your Personal Data solely to provide you with the possibility of using the University Application, including:

  • Creating and managing your Platform account
  • Preparing your University Application
  • Transmitting your application and supporting documents to the universities you select
  • Requesting or receiving records from your school
  • Ensuring the security, functionality, and maintenance of the Platform
  • Providing technical support and resolving operational issues by authorized employees.

Important:

  • We do not make or influence admissions decisions.
  • Universities and colleges act as independent controllers once they receive your application.
  • Your school acts only as a third-party data source to verify or provide required documents.

No automated decisionmaking or profiling takes place.

LEGAL BASIS FOR PROCESSING

We process your Personal Data under the following legal bases. Because the Platform is available to students worldwide, the legal basis we rely on depends on the data protection laws applicable in your country of residence.

1. Performance of a Contract (Applicable to jurisdictions recognizing contractual necessity)

Where the applicable law permits processing on the basis of contractual necessity, we process your Personal Data — or the Personal Data of the parent or legal guardian in the case of a minor — as it is required to provide the application service you have requested, including:

  • Creating your account
  • Hosting and managing your University Application
  • Transmitting your application to the universities you choose
  • Requesting or attaching school-provided records upon your authorization

This processing is essential for enabling you to prepare and submit your University Applications through the Platform.

2. Legitimate Interests (Applicable in jurisdictions that recognize legitimate interest as a lawful basis)

We process certain Personal Data to pursue SES’s legitimate interests in operating a secure, reliable, and effective platform, including:

  • Securing and maintaining the Platform
  • Detecting and preventing fraud or misuse
  • Troubleshooting and improving service quality
  • Keeping limited logs for operational integrity and dispute handling

We apply safeguards such as encryption, access controls, and data minimization to protect your rights and freedoms.

3. Consent (Applicable globally where required, or where local laws rely mainly on consent)

In some countries, applicable law requires your explicit consent as the primary legal basis for processing your Personal Data or for transferring it to universities abroad. In those jurisdictions, we will rely on your explicit consent before:

  • Collecting or processing your Personal Data
  • Transmitting your application to universities located locally or internationally
  • Requesting supporting documents from your school
  • Conducting any processing not strictly necessary for providing the core service

In all jurisdictions, we rely on consent for optional, nonessential activities, including:

  • Receiving optional communications or updates
  • Participating in voluntary surveys or service-feedback initiatives

You may withdraw your consent at any time. Withdrawal does not affect the lawfulness of processing carried out before consent was withdrawn.

HOW WE SHARE YOUR PERSONAL DATA

1. Universities and Colleges (Independent Controllers)

When you submit your University Application, we transmit your Personal Data to the universities/colleges you selected.

Once transmitted, those institutions become independent controllers responsible for their own processing. Please consult their privacy notices for details on how they use your Personal Data.

2. Your Current or Former School

Your current school (or the school you have graduated from) will be required to provide transcripts or records for inclusion in your application. Your school is not a participant in the Platform and acts only to verify or supply documents you authorize.

3. Service Providers (Processors)

We use service providers who process data on our behalf, including:

  • Microsoft Azure Europe: hosting and secure storage of the Platform and related Personal Data
  • Payment gateway (PayFort International FZ LLC): processing payment transactions, when applicable

4. Legal Requirements

We may disclose Personal Data where required by law, regulatory authority, or judicial request.

We do not sell or share your Personal Data for marketing purposes.

DATA SECURITY

We are committed to protecting your Personal Data and processing it securely. To safeguard your information, we have implemented administrative, technical, and physical security measures designed to prevent accidental or unlawful destruction, loss, alteration, unauthorized disclosure, or access to the Personal Data we collect, store, or use.

These measures include, but are not limited to, Role-Based Access Control (RBAC), which restricts access to Personal Data to authorized employees and agents who require it to operate, maintain, or improve our applications and services; Multi-Factor Authentication (MFA); data masking; encryption and secure transmission using industry-standard protocols to protect data both in transit and at rest; logging and auditing where access and system activities are logged and reviewed periodically to detect and prevent unauthorized use; secure infrastructure controls, to protect the Platform from unauthorized access.

We remain committed to maintaining the confidentiality, integrity, and availability of your Personal Data and continually review and enhance our security measures in alignment with industry best practices and applicable legal requirements.

RETENTION OF PERSONAL DATA

We retain your Personal Data only as long as necessary to provide the application service and meet operational/legal requirements.

  • Application-related Personal Data is retained on the Platform no later than December 31 of the year following submission, then securely deleted.
  • Logs and technical records may be kept for a limited period for system integrity and dispute handling.
  • Anonymized or aggregated data that cannot identify you may be retained for service improvements.

We do not store payment details.

DATA SUBJECT RIGHTS

You have the following rights under applicable data protection laws:

  • Right of access
  • Right to rectification
  • Right to erasure (in specific cases)
  • Right to restriction of processing
  • Right to data portability
  • Right to object to certain processing
  • Right to withdraw consent at any time (where consent is used)
  • Right to lodge a complaint with a supervisory authority in the country where you reside, or the alleged infringement of data protection laws has taken place.
